Lead Automations

Automations at /crm/leads/automations let you define workflows that execute without manual intervention. Configure triggers that fire automatic actions to nurture prospects, notify your team, and move leads through the pipeline.

Predefined Templates

Fenicia includes ready-to-use templates covering the most common scenarios:

TemplateTriggerActions
Welcome leadLead createdSend welcome email + assign to salesperson
48h follow-up48 hours without activitySend reminder email + notify salesperson
Qualified leadStage changed to "Qualified"Send SMS + create task for salesperson
Reactivation7 days inactiveSend special offer via email

Tip

Templates are a starting point. You can duplicate them and customize each step according to your business needs.

Create a Custom Workflow

1

Select trigger

Define which event fires the automation. Choose from the available triggers (see table below).

2

Add conditions (optional)

Filter when it should execute. For example: only if the lead comes from Meta Ads, only if it has a "premium" tag, or only during business hours.

3

Define actions

Add one or more actions that will execute in sequence when the trigger fires and conditions are met.

4

Configure wait times

Between actions you can add pauses. For example: send email immediately, wait 2 days, send follow-up SMS.

5

Activate the workflow

Review the complete summary and activate the automation. You can pause it at any time.

Available Triggers

TriggerDescription
lead_createdA new lead is created in the system (manual, import, or integration)
stage_changedA lead changes stage in the pipeline
time_basedA period passes without activity on the lead
form_submittedA web form connected to Fenicia is submitted
email_openedThe lead opens an email sent from the platform

Combining triggers

You can create multiple automations with different triggers that act on the same leads. Fenicia prevents duplicates: if a lead already received a specific action, it will not repeat.

Available Actions

ActionDescription
Send emailSend a personalized email with lead variables (name, company, etc.)
Send SMSSend a text message to the lead's number
Internal notificationNotify a team member or Slack/Teams channel
Move stageAutomatically change the lead's pipeline stage
Assign userAssign the lead to a specific salesperson or by rotation
Add tagAdd a tag to the lead for classification

Execution Metrics

Each active automation shows performance metrics:

  • Total executions: How many times the workflow has been triggered.
  • Success rate: Percentage of executions completed without error.
  • Actions executed: Breakdown of each action and its result.
  • Leads affected: Number of unique leads that went through the workflow.

These metrics help you identify which automations are working and which need adjustments.

Best Practices

  • Do not overwhelm: Limit automatic emails to 1-2 per week per lead to avoid spam flags.
  • Personalize: Use available variables (name, company, source) to make messages feel personal.
  • Measure and adjust: Review metrics weekly and deactivate workflows with low open rates.
  • Timing: Configure send actions during business hours for better response rates.

Consent

Make sure you have the lead's consent for email and SMS communications. In Mexico, the Federal Data Protection Law requires a privacy notice and an opt-out option.
