Inventory Sources

Inventory sources at /integrations/inventory-sources let you keep your stock levels updated by importing data from external systems like ERPs, WMS, or other e-commerce platforms.

What It Does

If you manage your inventory in an external system (an ERP, a WMS, or an automated spreadsheet), inventory sources let you reflect those levels in Fenicia without duplicating data entry.

Stock changes in the external system sync to Fenicia, keeping your sales channels with accurate information and reducing the risk of overselling.

Tip

Inventory sources complement product sources. While product sources import the catalog (name, price, images), inventory sources keep quantities up to date.

Connect an Inventory Source

1

Add source

On the inventory sources screen, click "Add source" and select the external system type.

2

Configure connection

Provide credentials and connection parameters based on the system:

  • REST API: Endpoint URL, authentication token, response format.
  • Webhook: Fenicia destination URL that will receive push updates.
  • Scheduled file: File location (FTP/SFTP) and read frequency.
3

Map identifiers

Define how the product identifier in the external system (SKU, internal code) relates to the product in Fenicia.

4

Run first sync

Launch the initial sync to verify the mapping works correctly and levels update as expected.

Sync Status

Each source shows its sync status in real time:

StatusDescription
SyncingThe source is processing an inventory update
CompletedThe last sync finished successfully
ErrorThe sync failed; check credentials and system availability
PendingThe sync is scheduled but has not yet executed

Last Sync Timestamp

Next to each status you will see the timestamp of the last successful sync. This lets you verify how recent the inventory data shown in Fenicia is.

Syncs with errors

When a sync fails, Fenicia automatically retries at increasing intervals (5 min, 15 min, 1 hour). If the error persists after 3 retries, the source is marked as error and you will receive a notification.

Manual Sync

At any time you can force an immediate sync:

  1. Locate the source in the list.
  2. Click the "Sync now" button.
  3. The status will change to "Syncing" while processing.
  4. Upon completion, you will see the result with the number of products updated.

This is useful when:

  • You made a bulk adjustment in the external system.
  • You need up-to-date data before a special sale.
  • You want to verify the connection works after a fix.

Monitoring and Reports

Each source includes a monitoring panel with:

  • Sync history: List of recent executions with result, duration, and records processed.
  • Products updated: Number of SKUs that had stock changes in the last sync.
  • Errors detected: Unmapped SKUs, invalid formats, or other issues.

Unmapped SKUs

If the external system sends a SKU that does not exist in Fenicia, it is logged as "unmapped" in the report. You can create the missing product or adjust the mapping to resolve these cases.

Sync Frequency

Configure how often Fenicia queries the external system:

FrequencyRecommended for
Every 5 minutesHigh sales volume, overselling risk
Every 15 minutesMedium volume, most stores
Every hourLow volume, stable inventory
ManualOnly syncs when you request it
